Job Title: Admin Assistant
Location: Covercroft Centre, Colman Road, Droitwich WR9 8QU
Hours: 37.5 hours Monday - Friday 09.00 – 5.00 but can be flexible
Trust Location: Herefordshire and Worcestershire Health Care NHS Trust Covercroft, WR9 8QU
Work Type: Temporary
What you’ll be responsible for:
1. Undertake administration and secretarial duties (specific to the role).
2. Undertake general office duties i.e. typing, data inputting, filing, photocopying, facsimile, as deemed appropriate, in line with Trust Policies and Procedures.
3. Arrange, confirm appointments and meetings as required, making appropriate arrangements e.g. hospitality, booking venues, equipment, travel accommodation etc.
4. Provide a secretarial service to meetings including the preparation and distribution of agendas and papers.
5. Answer / deal with both face to face and telephone enquiries.
You’ll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
Skills:
- Excellent telephone manner with a professional, courteous, and empathetic approach.
- Ability to communicate clearly with families from diverse backgrounds.
- Active listening skills to accurately understand concerns and queries.
- Ability to manage difficult, distressed, or anxious callers calmly and sensitively.
- Strong verbal and written communication skills for recording and relaying information.
