This is a varied administrative and compliance-focused role, ideal for someone who is highly organised, detail-oriented and comfortable handling sensitive information. You will play an important part in ensuring airport access pass applications are processed accurately and in line with relevant security and regulatory requirements, while also providing wider administrative support to the team.
Key Responsibilities
Airport Pass Applications
- Review and process airport identification pass applications for employees, contractors and third-party personnel.
- Check identity documentation, employment information and relevant background vetting.
- Ensure applications are complete, accurate and submitted within required timescales.
- Maintain accurate records of applications, approvals and supporting documentation.
- Support compliance with applicable UK aviation security and airport access requirements.
- Ensure relevant background checks, vetting and training requirements are completed.
- Maintain clear and auditable records for compliance purposes.
- Keep up to date with changes to relevant security requirements and processes.
- Act as a key point of contact for queries relating to airport passes and associated processes.
- Liaise with internal teams, contractors and external stakeholders to obtain information and resolve queries.
- Work with relevant airport security contacts and other external bodies when required.
- Provide general administrative support to the wider team and client frameworks.
- Prepare and submit invoices and supporting documentation.
- Coordinate meetings, events and team activities.
- Gather information and updates from internal teams.
- Arrange meetings, take minutes and maintain action logs.
- Provide additional administrative and coordination support as required.

You will ideally have:
- Strong administrative and organisational skills.
- Excellent attention to detail and accuracy.
- The ability to handle confidential and sensitive information appropriately.
- Strong written and verbal communication skills.
- Confidence communicating with a range of internal and external stakeholders.
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Strong record-keeping and document management skills.
- A proactive approach, with the ability to identify issues and get things moving without being asked.
- A collaborative attitude and a genuine interest in improving processes and ways of working.
- Previous experience within an aviation, airport, security or regulated environment.
- Knowledge of UK aviation security requirements or airport pass application processes.
- Experience in compliance, vetting, security administration or a similar role.
- Experience supporting frameworks, projects or operational teams.
