Job Title: Administrator
Location: Manchester Town Hall, Albert Square, Manchester, M60 2LA
Hours: 37.5 hours per week – Monday – Friday 8.30am – 4.30pm
Trust: Greater Manchester ICB (NHS)
Role type: Temporary for 6 months with possibility of becoming permanent
Role details
The post-holder will provide administrative support to the NHS Individualised Commissioning Team and other areas of the Directorate.
Duties & responsibilities
- Responsible for arranging meetings including sending meeting invites, room bookings and recording notes as and when required
- Able to populate template letters and other general correspondence in a professional and timely manner using the appropriate software packages
- Responsible for maintaining accurate and up to date patient records on the digital referral and case management system
- Able to use their knowledge sign post members of the public and professionals to appropriate services
- Accurately code invoices for authorisation. Liaise with service providers and other stakeholders as appropriate to resolve queries without delay
- Responsible for creating or amending meeting room diary bookings for the team
- uploading of patient information on to the digital platform
- Responsible for the booking of reviews and MDT as guided by clinical staff
- checking the GP registration for all referrals
- Respond to calls and emails enquiries requesting information or assistance from external and internal channels in a professional and helpful manner, signposting appropriately
- Distribute letters and other correspondence as required, securely and in line with information governance protocols Open, date stamp and distribute in coming post appropriately and upload on to the digital platform
This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.
You’ll learn the following whilst working at the trust:
- An in depth understanding of the roles and responsibilities involved in working within the NHS
- Knowledge of the systems used, to effectively complete your role to the highest standard at all times
- A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
- Previous administrative experience in a confidential environment
- Demonstrable experience in dealing with the public
- Basic knowledge of IT systems and software such as Outlook, Word and Excel
- Good Understanding of confidentiality and Data Protection Act
- Ability to work flexibly as a member of a team
- Good communication skills, i.e., able to communicate clearly and concisely both verbally and in writing
- Experience of inputting and maintenance of patient data systems
