Our client, a leading provider of facilities services in the UK, is seeking an organised and detail-driven Asset Data Coordinator to support the accurate management of assets, planned maintenance activities, and data quality within a CAFM environment.

This role plays a vital part in ensuring that maintenance operations run smoothly, remain compliant, and align with both industry and organisational standards. The successful candidate will act as a key link between systems, technical teams, and operational stakeholders to ensure reliable and high-quality asset data.

You will be responsible for capturing, validating, and continuously improving asset and PPM data, helping to maintain effective workflows and accurate system records. This position is well-suited to someone with strong systems knowledge, advanced Excel capability, and experience working in facilities, maintenance, or other data-driven environments.

Key Responsibilities

  • Manage asset and PPM data within the CAFM system, ensuring accuracy, consistency, and compliance with relevant standards.
  • Create, update, and maintain planned maintenance schedules in advance of technician allocation.
  • Monitor and improve data quality, verifying updates and supporting asset lifecycle management processes.
  • Prepare, review, and audit asset collection templates, including carrying out physical audits where required.
  • Review technician feedback and update maintenance plans or asset records accordingly.
  • Maintain core asset and maintenance information across multiple platforms, including API integrations.
  • Handle data administration tasks, system queries, and escalate issues where appropriate.
  • Collaborate with operational leads, technical teams, customers, and internal stakeholders to ensure effective service delivery.

Professional and Personal Competencies / Qualifications

  • Experience delivering maintenance or facilities-related tasks within a process-driven environment using CAFM, CMMS, or similar systems.
  • Advanced MS Office skills, particularly in Excel (including formulas and data handling).
  • Background in work planning, scheduling, asset management, database management, or similar administrative roles.
  • Strong communication skills, both written and verbal, with the ability to work collaboratively across dispersed teams.
  • High attention to detail with a strong focus on process and data accuracy.
  • Ability to prioritise and manage workloads effectively under tight deadlines.
  • Comfortable working independently, multitasking, and adapting to changing demands.
  • Flexible approach with a strong customer service ethos and willingness to support out-of-hours requirements when needed.
