As an Office Manager, you'll play a pivotal role in ensuring the smooth and efficient operation of the Northampton office. Reporting directly to the Office Director, you'll provide proactive support to Directors, Partners, and Associates while overseeing administration, compliance, marketing, HR, finance, IT, and facilities management. This is a varied, hands-on role that requires exceptional organisational skills, attention to detail, and a commitment to delivering outstanding service both internally and externally. The Office Manager is office-based.
🎯 Key Responsibilities
- Manage all day-to-day administrative functions of the office, ensuring efficient and professional operations.
- Act as the main point of contact for callers, visitors, and team members working remotely.
- Support the Office Director, Managing Director, Partners, and Associates with administrative and business support activities.
- Drive consistency, efficiency, and standardisation of processes across offices.
- Organise and distribute confidential marketing approaches, network communications, and confidentiality agreements.
- Prepare, proofread, format, and distribute presentations, Information Memoranda, Sales Memoranda, and other client-facing documentation.
- Support client service delivery by ensuring high standards of communication and responsiveness.
- Coordinate quarterly team meetings and attend monthly work-in-progress meetings.
- Manage post-deal marketing activity, press releases, website updates, and wider marketing campaigns.
- Maintain and support the firm's CRM system, ensuring data accuracy and user engagement.
- Manage relationships with external IT providers, coordinate hardware requirements, and support IT projects.
- Oversee employee administration including onboarding, induction, appraisals, training coordination, and offboarding processes.
- Support FCA compliance, anti-money laundering administration, and regulatory reporting requirements.
- Manage financial administration including invoices, payroll coordination, expense processing, reconciliations, and service contracts (Northampton office responsibilities).
- Oversee health and safety, office maintenance, landlord and tenant liaison, and general facilities management.
- Ensure the office remains professional, organised, compliant, and always welcoming.
🔍 What We're Looking For
- Previous experience in an Office Manager, Practice Manager, Operations Coordinator, or similar administrative leadership role.
- Exceptional organisational and time management skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills with excellent attention to detail.
- Confidence producing, reviewing, and formatting professional business documents and presentations.
- Experience supporting senior stakeholders and working within a professional services environment.
- Ability to identify process improvements and implement efficient working practices.
- Strong IT skills including Microsoft Office applications and CRM systems.
- A proactive, hands-on approach with the ability to work independently and as part of a team.
- High levels of integrity, professionalism, and discretion when handling confidential information.
- Excellent problem-solving skills and a "can-do" attitude.

- Experience within professional services, corporate finance, financial services, legal, accountancy, or consultancy environments.
- Working knowledge of FCA compliance and Anti-Money Laundering procedures.
- Experience managing external suppliers, facilities, or IT service providers.
- Payroll, accounts, or bookkeeping experience.
