Customer Services Administrator - Hybrid
An established engineering and manufacturing business is looking for an experienced Customer Services Administrator to join its busy customer services team.
This is a varied administration role supporting customers, sales teams and other departments with incoming enquiries, quotations and technical documentation. It would suit someone who is organised, confident dealing with customers and comfortable working with detailed information in a busy office environment.
You do not need to come from an engineering background, although previous experience within manufacturing, engineering, construction or another technical business would be useful.
The role
As Customer Services Administrator, you will be responsible for ensuring customer and sales enquiries are logged accurately, progressed efficiently and directed to the correct internal teams.
Your responsibilities will include:

Reviewing incoming customer enquiries, emails and supporting documentation.

Establishing customer requirements and ensuring the correct information has been provided.

Logging and tracking enquiries using CRM and ERP systems.

Managing a central sales/customer enquiry inbox.

Raising CRM records and quotation numbers where required.

Reviewing technical documents, specifications and drawings to identify relevant information.

Supporting the allocation of enquiries to internal sales, service and technical teams.

Maintaining accurate customer, enquiry and business partner information within internal systems.

Providing customers and sales teams with updates on enquiry status, lead times and progress.

Supporting the preparation and administration of quotations and tender enquiries.

Issuing enquiry acknowledgements and other customer correspondence.

Directing customer queries to the appropriate person or department where required.

Providing general administrative support to internal and external sales teams.

Providing occasional reception and switchboard cover when required.
The ideal candidate
We are looking for someone with strong customer service and administration experience who is comfortable working in a busy environment where accuracy and organisation are important.
You should ideally have:

Previous experience within customer service, sales administration, order processing or a similar office-based administration role.

Experience working in a busy environment with multiple enquiries and competing priorities.

Good Microsoft Office skills and confidence learning new business systems.

Previous experience using CRM, ERP, order processing or enquiry management systems.

Strong written and verbal communication skills with a professional telephone manner.

Good attention to detail and accurate data entry/keyboard skills.

The ability to organise your workload, prioritise effectively and work to deadlines.

Confidence dealing with customers and colleagues at different levels.

The ability to review detailed information and identify what is required before progressing an enquiry.
Previous experience within manufacturing, engineering, HVAC, construction or another technical environment would be advantageous, particularly if you have worked with quotations, tenders, technical specifications or drawings.
An NVQ Level 3 in Business Administration or an equivalent qualification would also be beneficial but not essential.
This is a good opportunity for an experienced Customer Services Administrator or Sales Administrator who enjoys a varied role combining customer contact, administration, systems and coordination.
