Role Overview

We are seeking an organised, local Document Controller with 2+ years of experience in the construction or mechanical and electrical (MEP) building services sector to join our project delivery team in Frankfurt am Main.

In this role, you will manage, maintain, and streamline the flow of all technical and operational documentation for a complex, high-spec Data Centre construction project in the Frankfurt region. Based locally, you will work closely with project managers, MEP site engineers, BIM coordinators, client representatives, and regional subcontractors to ensure full regulatory compliance, accurate revision control, and seamless project execution from pre-construction through to handover.

Key Responsibilities

Document Management & Quality Control

  • Electronic Document Management Systems (EDMS): Maintain and administer the project EDMS platform (e.g., Procore, Viewpoint for Projects / Field View, Autodesk Construction Cloud / BIM 360, Aconex, or SharePoint).
  • Revision Control & Tracking: Ensure all incoming and outgoing MEP engineering drawings, technical submittals, requests for information (RFIs), method statements, and specifications are properly logged, numbered, version-controlled, and distributed in both German and English.
  • Quality Assurance & Compliance: Audit project records regularly for completeness, accuracy, and adherence to German building standards (DIN/VOB), ISO 9001 quality standards, and client specifications.

Technical Submittals & MEP Coordination

  • Submittal Management: Process technical submittals, material approvals, and offsite fabrication (DfMA) documentation within strict project timelines.
  • RFI & Change Control: Track RFIs, variation orders, and technical queries between site teams, design consultants, and local subcontractors, ensuring prompt closure.
  • BIM & Drawing Registers: Work alongside BIM/CAD teams to upload, distribute, and archive 3D models and 2D layout drawings.

Handover & Commissioning Support

  • O&M Manual Preparation: Coordinate the collection, review, and assembly of Operation & Maintenance (O&M) manuals, commissioning results, test certificates, and As-Built drawings required for data centre handover.
  • Project Closeout: Compile complete handover documentation packages to meet Tier III/IV data centre compliance standards and local German authority sign-off criteria.

Key Requirements & Qualifications

  • Location & Mobility: Must be based locally in the Frankfurt am Main area (or within a short daily commute) with the right to live and work in Germany.
  • Language Skills: Fluent/Native German (written and spoken) is essential for liaising with local authorities and trades, along with Professional Working Proficiency in English.
  • Experience: Minimum 2+ years of experience as a Document Controller in construction, engineering, or building services (MEP focus preferred).
  • Technical Skills:
    • Proficient with major construction management tools and EDMS platforms (Procore, Viewpoint, Autodesk Construction Cloud, Aconex, SharePoint, etc.).
    • Strong mastery of Microsoft Office 365 (Excel, Word, Outlook, Teams) and PDF software (Bluebeam, Adobe Acrobat).
  • Industry Knowledge: Understanding of MEP technical documentation, construction workflows, and document lifecycle management.
  • Soft Skills:
    • Exceptional organizational skills with strong attention to detail under fast-paced project conditions.
    • Clear written and verbal communication skills for bridging interactions between multi-disciplinary engineering teams, client representatives, and local German subcontractors.

Preferred (Nice to Have)

  • Direct experience on mission-critical projects (Data Centres, Life Sciences, High-Tech Manufacturing, or Healthcare) in Germany.
  • Familiarity with German construction regulations (VOB) and local authority documentation requirements.
  • Familiarity with BIM workflows and ISO 19650 standards.
