  • Maintain accurate and up-to-date information across the electronic document management system (EDMS).
  • Distribute documentation to internal teams, clients, consultants, designers and subcontractors.
  • Work closely with Design Managers and Coordinators to maintain a clear Golden Thread of information throughout each project.
  • Maintain revision and status control across all project documentation.
  • Monitor information flow and document approval workflows.
  • Ensure the approval process for subcontractor and supplier documentation is fully auditable.
  • Liaise with clients, consultants and subcontractors to resolve document or system-related queries.
  • Produce weekly and monthly project audit reports.
  • Manage project directories and ensure information is filed correctly.
  • Coordinate documentation for tender packages, O&M manuals, Health & Safety files and project handovers.
  • Provide training and guidance to employees, clients and subcontractors on document control procedures and systems.

Project & Administrative Support

  • Maintain departmental spreadsheets, schedules and project trackers.
  • Track RFIs, project deadlines and completion dates.
  • Support the coordination of O&M and Health & Safety documentation.
  • Assist with meeting arrangements, diary management and external attendees.
  • Organise meetings with consultants and key project stakeholders.
  • Provide general administrative support to the Design team as required.

Design Coordination Support

  • Support Design Managers and Coordinators with design reviews and coordination activities.
  • Assist with tracking design information between consultants, subcontractors, suppliers and relevant authorities.
  • Help identify and resolve design-related issues to maintain project progress.

About You

We are looking for someone with:

  • Previous experience as a Document Controller within the construction industry.
  • Strong knowledge of electronic document management systems (EDMS).
  • A good understanding of construction processes, including design and pre-construction.
  • Excellent attention to detail and organisational skills.
  • Strong written and verbal communication skills.
  • A proactive, reliable and process-driven approach.
  • Good Microsoft Office skills, particularly Excel, Word, Outlook and PowerPoint.

Experience within planned works, refurbishment, retrofit, façades or building safety projects would be particularly advantageous, as would previous experience supporting Technical or Design teams.

The role offers full training and ongoing professional development, with the opportunity to broaden your experience across document control, design, compliance and project delivery. You will join a supportive and collaborative working environment, with genuine opportunities for career progression within an established construction business.
