Brighton College is seeking to appoint an Executive Assistant and Marketing Coordinator to join the team on a permanent, full-time, term-time only contract.

Main Purpose of the Role: To provide high-quality executive, marketing and administrative support that enables the effective delivery of the College's marketing, communications and pupil recruitment activities.

The role provides proactive support to the Group Director of Marketing ensuring diaries, projects, campaigns and events are effectively coordinated and delivered. The postholder will play a key role in supporting the College's pupil recruitment objectives through the organisation of marketing activities, event coordination and stakeholder engagement.

The successful candidate will be highly organised, proactive, creative and detail-oriented, with the ability to manage multiple priorities while maintaining the highest standards of professionalism, confidentiality and marketing execution.

General Duties and Responsibilities:

Marketing Coordination

• Provide comprehensive administrative support to the Marketing Department, ensuring the smooth day-to-day operation of marketing and pupil recruitment activities.

• Coordinate photography and videography projects, including scheduling shoots, liaising with staff, pupils and external suppliers, obtaining required permissions and ensuring all arrangements are in place.

• Assist with the organisation and delivery of marketing campaigns and pupil recruitment initiatives across the Group of Brighton College Schools, including managing requests for marketing materials, reporting on marketing initiatives and organising group wide workshops and meetings.

• Monitor and track media and press coverage, maintaining records and producing reports for senior leaders.

Events and Pupil Recruitment Support

• Support the planning and delivery of Open Mornings and other pupil recruitment activities.

• Coordinate event logistics, including schedules, venues, hospitality, signage, materials and attendee communications.

• Assist in the creation of newsletters and other marketing materials.

• Proof reading of marketing materials.

• Assist with the creation of social media campaigns.

• Ensure all images and video footage are stored, tagged and organised in our systems.

Executive Assistant Support

• Act as a key point of contact and trusted administrative partner to the Group Director of Marketing, ensuring priorities, commitments and projects are effectively coordinated.

• Manage complex diaries, schedule meetings and coordinate appointments, ensuring senior leaders are fully briefed and prepared.

• Organise internal and external meetings, prepare agendas and supporting documentation, and record and distribute actions where required.

• Provide proactive reminders, monitor deadlines and follow up actions to ensure projects and departmental priorities progress efficiently.

• Support senior leaders with confidential administrative duties, correspondence and ad hoc projects.

• Arrange travel, hospitality and logistical requirements as required.

Financial, Project and Departmental Support

• Process departmental expenses, purchase orders and invoices accurately and efficiently.

• Monitor marketing expenditure against budgets and maintain accurate financial records.

• Liaise with internal departments and external suppliers regarding orders, payments and contracts.

• Maintain organised departmental filing systems and records.

• Assist with maintaining marketing calendars, project timelines and activity schedules.

• Produce reports, presentations and briefing documents to support decision-making and departmental planning.

• Undertake any other reasonable duties requested by management to support the smooth operation of the Marketing teams.

Hours of Work

Monday to Friday 8.30am-5.00pm with a 60-minute unpaid lunch break (37.5 hours per week). This role is term-time only (33 weeks). There will also be the requirement to work occasional weekends to support events such as Open Mornings, for which time in lieu will be given.

Holidays

Holiday entitlement is included in the salary for this role. All holiday is to be taken outside of the working weeks.
