Export Operations Coordinator

P+S Personnel are pleased to be working on behalf of our clients, who are currently seeking an Ocean Export Operations Coordinator to join their team based in Felixstowe on a full time, permanent basis.

Role Summary:

Responsible for coordinating and managing end‑to‑end ocean export shipments from the UK. This includes preparing documentation, ensuring regulatory compliance, liaising with carriers and customers, and maintaining accurate shipment records in line with company procedures.

Main Responsibilities:

  • Manage the full export process from booking to vessel departure and final delivery.
  • Arrange bookings with shipping lines, co‑loaders, and consolidators.
  • Prepare and issue export documentation including commercial invoices, packing lists, bills of lading, certificates of origin, and export declarations.
  • Submit UK customs export entries via CDS or internal systems.
  • Ensure compliance with UK export regulations, Incoterms, and carrier requirements.
  • Liaise with customers, carriers, hauliers, and overseas agents to coordinate cargo movements.
  • Track shipments, monitor ETDs/ETAs, and proactively resolve delays or exceptions.
  • Maintain accurate data in internal TMS systems (CargoWise preferred).
  • Support invoicing, cost control, and file closing.
  • Provide excellent customer service and build strong working relationships.

Person Specification:

  • Experience in ocean export operations within a UK freight forwarder.
  • Understanding of UK export procedures, CDS declarations, and documentation.
  • Knowledge of Incoterms and international shipping practices.
  • Strong communication and organisational skills.
  • Ability to manage multiple shipments and deadlines.
  • Proficiency with MS Office; CargoWise experience preferred.
  • Working knowledge of UK customs procedures (Desired).
  • Exposure to import operations and basic import clearance processes (Desired).
  • Experience with FCL and LCL shipments (Desired).
  • Awareness of dangerous goods requirements (IMDG/ADR) (Desired).
  • Ability to support cross trade and multimodal shipments (Desired).

Working Hours:

  • Monday – Friday 09:00 – 17:30.
  • Soley office-based work.
