Hexagon Group are delighted to be partnering with a highly respected real estate investment company in their search for a Facilities Administrator to join their established Property Management team. This role will be heavily focused on the management and administration of the CAFM (Vantify) system, making it ideal for someone who has previous experience using CAFM platforms within a commercial property or facilities management environment. Acting as a central point of coordination, you will ensure planned and reactive maintenance activities are accurately recorded, asset data is maintained to the highest standard, and statutory compliance records remain up to date. You will also produce operational reports, monitor outstanding maintenance and compliance actions, and work closely with Building Managers, contractors and internal stakeholders to ensure service delivery remains efficient across the portfolio.
Alongside managing the CAFM system, you will support the wider Facilities Management team with contractor administration, document control, compliance tracking, invoice processing and reporting. You will play an important role in maintaining accurate records, supporting audits and ensuring that maintenance and compliance activities are completed within agreed timescales. Your ability to build strong working relationships with both internal teams and external service partners will be key to your success in the position.
The successful candidate will have previous experience in a facilities administration, helpdesk management, or property management administration role, with strong working knowledge of CAFM systems (ideally, Vantify) and an excellent understanding of planned preventative maintenance, reactive maintenance and statutory compliance processes. You will possess exceptional organisational skills, a high level of attention to detail and be confident using Microsoft Excel and other Microsoft Office applications to produce reports and analyse data.
