Our client, a well-established global insurance firm based in the City, is seeking a proactive Facilities Assistant to join their new office. This is an excellent opportunity for someone with facilities or administrative experience to join a fast-paced, collaborative environment within professional services.
This role is an urgent hire and we are looking for a candidate who can start on 1st September at the latest!
Key Responsibilities
- Track departmental budgets and spending using Excel-based systems
- Maintain accurate financial records in SAP Concur to support transparency and spending control
- Support security operations, including access passes, out-of-hours access, and liaison with building security to maintain a safe working environment
- Distribute internal mail and manage outgoing external mail
- Arrange courier services
- Order and distribute stationery supplies
- Support archiving control processes
- Assist with moving furniture and other office items
- Monitor coffee machine stock levels and refill supplies as needed
- Monitor stock in the stationery cupboard, including tea, coffee, and stationery supplies
- Keep the internal café area fully stocked at all times
- Support all audio-visual queries and enquiries
- Comply with company and regulatory policies, procedures, and mandatory training requirements
- Assist with ad hoc tasks as required
- Demonstrable work experience within facilities or a similar role such as office manager or administrator
- Working knowledge of Microsoft Excel, Word, and Outlook
- Strong written and verbal communication skills
- Ability to use own initiative
- Punctual and conscientious, with a "can do" approach
- Enthusiastic, flexible, and a strong team player
