Helpdesk Administrator / Contract Support Administrator

Are you an organised administrator with excellent customer service skills and experience working in a fast-paced environment?

We're looking for a Helpdesk Administrator / Contract Support Administrator to support a busy Facilities Management contract across a portfolio of schools and community healthcare properties in Birmingham.

This is a varied role where you'll be responsible for managing maintenance requests from initial enquiry through to completion. You'll coordinate engineers and subcontractors, monitor Service Level Agreements (SLAs), update the Maximo CAFM system, raise purchase orders and ensure all jobs are completed accurately and on time.

Key Responsibilities

  • Manage maintenance work orders from receipt through to completion.

  • Log, allocate and monitor jobs using the Maximo CAFM system.

  • Coordinate engineers and subcontractors, ensuring works are completed within agreed SLAs.

  • Act as the first point of contact for customer enquiries via telephone and email.

  • Raise purchase orders and support invoice processing.

  • Monitor outstanding jobs, chase updates and ensure timely closure.

  • Produce reports and maintain accurate records.

  • Liaise with operational, technical, commercial and finance teams to support contract performance.

  • Handle customer queries professionally and escalate issues where required.

  • Ensure compliance with company procedures and contractual requirements.

What We're Looking For

  • Previous administration or helpdesk experience, ideally within Facilities Management, Maintenance or a technical environment.

  • Strong customer service and communication skills.

  • Excellent organisational skills with the ability to manage multiple priorities.

  • Confident using Microsoft Office, particularly Excel.

  • Experience using CAFM systems such as Maximo not essential

  • Knowledge of Coupa or similar purchasing systems would be advantageous.

  • A proactive, organised approach with excellent attention to detail.
