Invoicing Administrator

Location: Poole, Dorset
Salary: From £28,000 per annum, dependent on experience
Hours: Monday-Friday, 8:30am-5:30pm (40 hours per week)
Job Type: Full-time, Permanent


TeamJobs are working with a well-established engineering and maintenance business in Poole who are looking to recruit an Invoicing Administrator.

This is a great opportunity for someone with experience in invoicing, billing or accounts administration who enjoys working with numbers, keeping records accurate and making sure everything is completed correctly and on time.

You'll play an important role in supporting the day-to-day billing process, working closely with engineers, suppliers, customers and the wider maintenance team.



The Role

Your main focus will be making sure maintenance jobs are accurately recorded, reconciled and invoiced. You'll be responsible for checking information, identifying discrepancies and ensuring invoices are raised promptly once work has been completed.

Key duties will include:

  • Processing supplier and subcontractor invoices and checking them against relevant documentation

  • Raising sales invoices for completed maintenance work

  • Checking job sheets, purchase orders, quotes and timesheet information for accuracy

  • Reconciling engineer timesheets and job costs

  • Investigating and resolving any discrepancies or missing information

  • Keeping billing and job records accurate and up to date

  • Liaising with engineers, suppliers and customers regarding invoice queries

  • Supporting month-end reconciliation and reporting

  • Uploading, issuing and filing invoices and supporting documentation

  • Providing general administrative support to the Maintenance team



About You

We're looking for someone who is numerically confident, highly organised and naturally detail-focused.

You'll ideally have previous experience in an invoicing, billing, finance administration or similar role, although the most important thing is that you're comfortable working accurately with figures and handling a busy workload.

You'll also need:

  • Excellent attention to detail

  • Strong numerical and reconciliation skills

  • Good organisation and time management

  • The ability to prioritise and work to deadlines

  • A proactive and self-motivated approach

  • Confident communication skills when dealing with colleagues, suppliers and customers

  • Good Microsoft Office skills, particularly Excel

  • Experience using invoicing or accounting software would be advantageous
