Your New CompanyA well-established international organisation is seeking an organised and proactive Logistics Assistant to join its growing team. Your New RoleAs a Logistics Assistant, you will play a key role in supporting the day-to-day administration and coordination of international logistics activities. This position is heavily focused on administration, document management, tracking information, stakeholder communication and maintaining accurate records across multiple locations.
Key responsibilities will include:
- Maintaining and updating shipment trackers, databases and internal records.
- Monitoring the status of shipments and ensuring information is accurate and up to date.
- Liaising with suppliers, freight forwarders and customs agents to obtain updates and documentation.
- Preparing, collating and filing shipping documentation, invoices and supporting paperwork.
- Reviewing documents for accuracy and ensuring records are complete.
- Updating purchase order, supplier and logistics information within internal systems.
- Producing reports and spreadsheets to support operational decision-making.
- Coordinating communication between internal teams and external logistics providers.
- Following up on outstanding actions and ensuring deadlines are met.
- Recording logistics costs and supporting invoice reconciliation processes.
- Maintaining organised electronic filing systems and documentation records.
- Supporting procurement, operations and logistics teams with general administration.
- Assisting with process improvements and ensuring company records remain compliant and accurate.
- Providing regular updates to internal stakeholders regarding shipment progress and operational activities.
What You'll Need to Succeed
- Fluent Italian and English, both written and spoken.
- Previous experience in administration, logistics administration, supply chain support, import/export administration or a similar office-based role.
- Strong organisational and time management skills.
- Excellent attention to detail and a highly accurate approach to record keeping.
- Strong communication and stakeholder management skills.
- Good working knowledge of Microsoft Excel and Microsoft Office applications.
- Confidence managing large volumes of information and documentation.
- Ability to prioritise workload and meet deadlines.
- A proactive, reliable and solutions-focused approach.
- French language skills would be advantageous but are not essential.
