M&E Document Controller

We are currently seeking an experienced and highly organised M&E Document Controller to join our project team.

The successful candidate will be responsible for managing the flow, control and distribution of all mechanical and electrical project documentation throughout the project lifecycle. Working closely with project managers, engineers, subcontractors and clients, you will ensure that documentation is accurate, up to date, appropriately controlled and easily accessible.

Key Responsibilities
  • Manage and maintain all M&E project documentation, including drawings, specifications, technical submissions, reports, contracts, correspondence, O&M information and project records.
  • Ensure all documentation is correctly uploaded, distributed, tracked and archived in line with project procedures.
  • Maintain strict document and revision control, ensuring project teams are always working from the latest approved information.
  • Coordinate with project managers, engineers, subcontractors, suppliers and clients to obtain and distribute documentation within agreed timescales.
  • Maintain document registers, trackers and transmittals, monitoring outstanding and overdue information.
  • Manage documentation through systems such as SharePoint, Procore and other Common Data Environments (CDEs).
  • Ensure document control procedures are consistently followed across all stages of the project.
  • Support the project team with the management and tracking of technical submissions, RFIs, drawings, approvals and other project deliverables.
  • Identify document discrepancies, missing information or revision issues and work with relevant stakeholders to resolve them promptly.
  • Maintain accurate records to support project audits, quality procedures and compliance requirements.
  • Assist with the compilation and handover of O&M manuals, as-built drawings and final project documentation.
  • Contribute to the continual improvement of document control processes and systems.
  • Provide regular updates and reports on document status, outstanding information and project deliverables.
Skills & Experience
  • Previous experience working as a Document Controller within an M&E, construction, engineering or building-services environment.
  • Strong understanding of document control processes and revision management.
  • Excellent organisational skills with a high level of attention to detail.
  • Experience using SharePoint, Procore or other document management / CDE platforms.
  • Confident working with large volumes of technical documentation.
  • Strong communication skills with the ability to liaise effectively with project teams, clients, subcontractors and suppliers.
  • Excellent time management skills and the ability to prioritise competing deadlines.
  • Proactive approach with the ability to identify and resolve issues independently.
  • Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook.
  • Experience working on large-scale M&E or construction projects would be highly advantageous.
  • Knowledge of drawings, technical submissions, RFIs, O&M information and project handover requirements would be beneficial.
