About the Role

We are looking for an organised, proactive and detail-focused Operations Administrator to join a busy and growing freight and logistics operation based in Oldbury.

This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced environment and wants to build a long-term career within transport, logistics and freight operations.

You will play an important role in supporting the day-to-day running of the operation, working closely with the Operations, Transport, Warehouse and Customer Service teams to ensure shipments are processed efficiently, deliveries are managed effectively and customers receive a high level of service.

No two days will be exactly the same, so we're looking for someone who is comfortable managing multiple priorities, communicating with different stakeholders and taking ownership of their workload.

Key Responsibilities:

  • Provide day-to-day administrative support to the Operations and Transport teams.
  • Process and maintain accurate shipment, transport and delivery documentation.
  • Input and update customer orders, delivery schedules and operational records.
  • Liaise with customers, drivers, warehouse teams and suppliers regarding deliveries and shipment updates.
  • Monitor and track deliveries, identifying and escalating delays or issues where required.
  • Manage and maintain Proof of Deliveries (PODs) and associated transport documentation.
  • Assist with invoice administration and ensure supporting documentation is accurate and complete.
  • Prepare spreadsheets, reports and operational documentation for the wider team.
  • Assist with stock and inventory administration where required.
  • Handle incoming calls, emails and customer enquiries professionally and efficiently.
  • Ensure operational records are maintained accurately and in line with company procedures and compliance requirements.
  • Support the wider team with day-to-day operational queries and problem solving.
  • Contribute to process improvements and help identify ways to make the operation more efficient.

Person Specifications:

  • Previous experience in an administrative or coordination role.
  • Experience within logistics, freight, transport, warehousing or supply chain is highly desirable.
  • Strong organisational skills and the ability to manage multiple tasks and competing priorities.
  • Excellent attention to detail and a high level of accuracy.
  • Confident use of Microsoft Excel, Outlook and Word.
  • Strong written and verbal communication skills.
  • The ability to build effective working relationships with customers, colleagues, drivers and suppliers.
  • A positive, flexible and solutions-focused approach.
  • The ability to work independently while also contributing effectively as part of a team.

  • Transport Management Systems (TMS)
  • Warehouse Management Systems (WMS)
  • ERP systems
  • Freight forwarding or transport operations
  • Delivery scheduling and transport documentation
  • Customer order processing
