Our client is a growing specialist business looking for an Operations Assistant to join their Drainage Division. This is a varied and fast-paced role, supporting the day-to-day running of the operation across scheduling, administration, customer service, stock management, invoicing and data entry.
Reporting to the Business Development Manager (Drainage), you will play an important role in coordinating engineers, customers, vehicles, materials and subcontractors, ensuring jobs are delivered efficiently, safely and on schedule.
The Role
As Operations Assistant, your responsibilities will include:

Managing job scheduling and diary coordination using the BigChange CRM system.

Planning and reviewing workloads and manpower to ensure operational targets are achieved efficiently and profitably.

Managing the department inbox and ensuring actions are followed up promptly.

Planning vehicle routes with a focus on cost-effectiveness and efficiency.

Acting as a key point of contact for customers and Drainage Engineers.

Coordinating vehicles, subcontractors, materials and other operational requirements.

Supporting Engineers with detailed work schedules and strict timelines.
-
Preparing, amending and circulating RAMS documentation.

Communicating changes to delivery dates and schedules with relevant stakeholders.

Purchasing materials and services required for job delivery.

Maintaining accurate project and operational records within internal systems.
-
Ensuring Waste Contamination Certificates are correctly created and stored.

Supporting the wider team with general administration and operational duties.
About You
We’re looking for someone who is organised, proactive and comfortable working in a busy operational environment. You will need to be able to manage competing priorities, communicate confidently with customers and colleagues, and maintain a high level of accuracy.
You should have:

At least 2 years' office administration experience.

Good levels of Maths and English.

Experience working within an Operations environment would be advantageous.

Good IT skills, including spreadsheets, word processing and databases.

Experience maintaining accurate and comprehensive records.

Strong organisational and time-management skills.

The ability to prioritise effectively and manage conflicting demands.

Excellent written and verbal communication skills.

The ability to produce standard reports and undertake routine calculations.

A professional and discreet approach when handling confidential information.

A proactive approach to problem-solving and supporting colleagues.
