Based in a Knightsbridge Flagship clinic, the brand also offers treatments and products in luxury department stores, hotels and high-end health and wellness clubs.
Role Overview
The Operations Manager is responsible for the inventory, logistics, invoicing and reporting across the Brand. This role ensures seamless day-to-day running of operations by working with the channel owners and assessing on-going needs and budgets. Ultimately responsible for the product catalogue and inventory, this role oversees the manufacturing processes, goods in, warehousing and goods out.
The role requires strong organisational skills, attention to detail, commercial awareness, and the ability to manage multiple operational responsibilities within a fast-paced luxury wellness environment.
This role is based at the Knightsbridge location, but may require regular visits to other locations including the Warehouse, Training Room and Retail/Hotel partner locations.
Role Responsibilities
Inventory & Warehousing
- Stock management - demand planning process coordinating inventory needs across all channels
- Working with the Co-Founder on the procurement needs - ordering the components and products according to the demand plan
- Ensuring products are registered and compliant: working with our regulatory partners to maintain updated product catalogues, PIFs and paperwork
- Building efficiencies across all aspects into the supply chain to improve speed, accuracy and cost-savings
- Monitor stock movement across all locations - ensuring accuracy of recorded movements, and stock on hand
- Working with the Warehouse on fulfillment standards
- Organising cyclical stock takes both in the warehouse and flagship clinic locations to give a complete audited picture of stock availability.
Logistics
- Coordinate warehouse operations and order fulfilment within agreed SLAs
- Receiving POs and keying these accurately into the system
- Communicating OOS issues and lost-sales
- Working with the Warehouse team to complete the Goods Out process, organising necessary paperwork and liaising with carriers to follow the order through to delivery.
- Managing fulfillment disputes, damages and organising RTVs
Wholesale
- Liaising with the Wholesale Manager on stock levels and communicating inventory availability
- Updating the Wholesale team on inventory changes including, but not limited to, regulatory changes, newness, samples
- Invoicing the customer upon shipment of the goods, and providing regular statements to chase for payments.
- Escalating late payments to the Wholesale Manager to chase/placing the account on hold.
- Supporting the Wholesale customer with importing issues / paperwork.
Reporting & Business Performance
- Prepare weekly and monthly sales reports per channel
- Track KPIs and revenue reporting
- Coordinate reporting across all channels to ensure consistency

- Initiate action to correct a hazardous situation and notify supervisors of potential dangers
