Personal Assistant to Executive Leadership
Role Purpose
- Provide confidential, proactive, and professional support to senior executives, enabling them to operate effectively and efficiently.
- Ensure the smooth day-to-day running of executive offices through high-quality administrative, operational, and project support.
Key Responsibilities
- Provide comprehensive administrative support to senior executives and their leadership teams.
- Manage complex diaries, scheduling, and prioritisation of appointments and meetings.
- Act as a key point of contact for internal and external stakeholders.
- Handle correspondence, drafting responses including thank-you letters, acknowledgements, and other communications.
- Prepare, format, and distribute high-quality, accessible documents and meeting papers.
- Ensure meeting documentation is submitted in line with governance requirements and deadlines.
- Manage sensitive and confidential information with discretion and professionalism.
- Coordinate travel, accommodation, and meeting arrangements.
- Organise and support meetings, including agenda preparation, minute taking, and tracking actions.
- Anticipate executive requirements and ensure briefing materials are prepared in advance of meetings.
- Monitor deadlines and provide timely reminders on key activities and deliverables.
- Provide financial administration support, including processing purchase orders, approvals, and expenses.
- Conduct research and gather information to support strategic initiatives and projects.
- Assist with the coordination and delivery of ad hoc projects and business activities.
- Collaborate with colleagues and provide cover for other Personal Assistants when required.
Key Skills & Experience
- Previous experience supporting senior executives or leadership teams.
- Excellent organisational and time-management skills.
- Strong written and verbal communication abilities.
- High level of discretion and experience handling confidential information.
- Ability to manage multiple priorities and work to tight deadlines.
- Proficient in Microsoft Office and digital collaboration tools.
- Strong attention to detail and accuracy.
- Experience preparing minutes, reports, and professional documentation.
Ability to work independently while maintaining strong stakeholder relationships.
