Personal Assistant to CEO – West End, London  - £50,000–£60,000

An exceptional opportunity has arisen for a highly organised and commercially astute Personal Assistant to support ongoing construction projects. The PA will serve as the CEO’s central communication channel, overseeing and coordinating all information shared between the CEO, Directors, Project Managers, Contract Managers and wider teams, guaranteeing clear, consistent and timely communication across the organisation.

This role requires a PA with proven experience in a construction environment, capable of operating with precision, pace and discretion. You will be based full-time on site in The West End, acting as the central point of coordination for all communication, scheduling and administrative flow

Key Responsibilities

Email management — triaging, prioritising, drafting, responding, flagging actions

Diary management — scheduling meetings, site visits, travel, and personal appointments

Inbox organisation — folders, follow ups, reminders, action tracking

Gatekeeping — controlling access, filtering requests, managing interruptions

Meeting coordination — booking rooms, preparing agendas, circulating papers

Minute taking — capturing actions, distributing notes, tracking deadlines

Document preparation — letters, reports, briefing packs, presentations

Travel arrangements — flights, hotels, itineraries, visas, logistics

Expense management — receipts, reconciliations, monthly reports

Confidential information handling — discretion with sensitive or personal matters

Stakeholder communication — liaising with contractors, executives, suppliers

Phone management — screening calls, returning messages, organising call backs

Task prioritisation — ensuring the principal’s day runs smoothly and efficiently

Personal support — ad hoc errands, personal appointments, lifestyle admin

Project support — coordinating timelines, tracking deliverables, updating logs

File and data organisation — digital filing, version control, archiving

Office coordination — supplies, maintenance, courier bookings

Relationship management — maintaining positive rapport with key contacts

Deadline tracking — ensuring nothing slips, chasing actions proactively

About You

Background within a Tier One construction company (mandatory)

Exceptional written and verbal communication skills

Highly organised, calm under pressure, and able to manage competing priorities

Confident liaising with senior executives, contractors and international contacts

Professional, polished and able to represent the principal with discretion
