About the Role
We are looking for a proactive and customer-focused Parts Advisor / Spare Parts Administrator to join a busy Sales and Service team in Banbury, Oxfordshire.
This varied position involves managing spare parts enquiries, preparing quotations, processing orders and coordinating deliveries to ensure customers receive an efficient and professional service. Working within a fast-paced manufacturing and engineering environment, you will liaise with customers, suppliers and internal departments while maintaining accurate stock and order records.
This is an excellent opportunity for someone with previous experience in parts administration, stock control or inventory management who enjoys problem-solving, learning technical systems and delivering outstanding customer service.
Duties & Responsibilities
- Prepare accurate spare parts quotations using a bespoke parts management system, responding to customer enquiries regarding pricing and availability.
- Process spare parts sales orders, generate picking and packing documentation, and raise invoices for completed orders.
- Maintain accurate stock and inventory records, book incoming spare parts into stock and participate in regular stocktakes.
- Liaise with customers, factories and internal departments to coordinate spare parts orders and resolve queries efficiently.
- Arrange UK and international spare parts shipments, preparing courier manifests, consignment notes and relevant dispatch documentation.
- Manage warranty enquiries, returns and follow-ups, including checking warranty credits received from factories.
- Support warehouse activities, including picking and packing spare parts when required.
- Complete general administrative duties, maintaining accurate sales order records, invoices and associated documentation.
- Previous experience in a parts advisor, spare parts administration, stock control, stores, inventory management or similar administrative role, ideally within manufacturing, engineering or a technical environment.
- Strong IT skills, including proficiency in Microsoft Word and Excel, with the ability to learn bespoke parts and inventory management systems.
- Excellent customer service and communication skills, with confidence handling telephone and email enquiries professionally.
- Strong organisational skills, excellent attention to detail and the ability to manage competing priorities in a busy environment.
- A proactive, flexible and solutions-focused approach, with the ability to investigate queries, resolve problems and work effectively within a team.
- An enthusiastic attitude towards learning technical products and processes, with full training provided on the company's specialist systems.
