Rohan have an exciting new opportunity for a Production Coordinator at our Head Office in Milton Keynes.

As Production Coordinator for our technical clothing brand, you will play a key role in ensuring production timelines are met, on time and in full, maintaining and building relationships with suppliers and mills to ensure strong working relationships and cooperation. You will be responsible for managing production schedules, and production planning, guaranteeing seamless operations across the supply chain. You will work closely with goods-in on bookings with Rohan suppliers and third party party suppliers. This role requires exceptional organisational skills, strong supplier relationship management, and a deep understanding of technical apparel production processes.

The Role

Vendor management

  • Support the Production manager in compiling end of season vendor reviews, communicating wins and challenges from WIP and logistics perspective
  • Manage timely updates on vendor production and update WIPs in line with business needs
  • Monitor and identify any recurring issues with vendors that require investigation or CAP implementation
  • Manage vendor data in the range grids and ensure all relevant details are updated on a seasonal basis

Production planning and purchasing

  • Support the Production Manager in forecast and capacity planning, communication, and management
  • Prepare time critical placement of purchase orders
  • Generate, update, and monitor purchase orders in line with business critical path, forecast, and demand.
  • Oversee purchase order communication and management with vendors
  • Confidently review and discuss production trackers with vendors, highlighting risks and proposing remedial actions with Production Manager and Product team
  • Be the primary contact for queries relating to purchase orders, production variances and delivery dates.
  • Order marketing samples and manage the critical path for production in line with marketing requirements
  • Communicate with the warehouse on a forward view of intake forward 6 weeks
  • Prepare and lead external and internal progress meetings vs critical path and intake deadlines, using the Range grid as a basis
  • Highlight risks and changes to confirmed dates.

Critical path

  • Ensure critical path dates are met for timely and accurate purchase order raising and placement
  • Ensure that suppliers are aware of the critical path dates so bulk production is delivered according to the seasonal calendar.
  • Communicate with the warehouse on a forward view of intake forward 6 weeks

Logistics

  • Manage key relationship with freight forwarders and logistics.
  • Collate and review accurate freight costings, communicate these and other relevant information, to Production Manager to assist in making informed decisions regarding freight method and costs. Monthly and seasonally
  • Forecasting freight by season based on expected volume with Zeigler ensuring consideration for Chinese New Year
  • Coordinate with vendors and freight forwarders to ensure advance bookings and timely handover of goods before cutoff date. 
  • Track and manage the goods from supplier to warehouse and reporting on each critical milestone.
  • Manage timely receipt of documents with vendor and freight forwarders
  • Check and validate documents
  • Update MSBC on quantity and price variances
  • Share documents with forwarder and finance before notice of arrival is sent.
  • Ensure vendors submit duty free exemption documents when goods are handed over.
  • Confidently check and flag customs entries, to ensure all import, export, and customs practices are compliant and updated in line with HMRC legislation.
  • Update and track deliveries keeping on top of delivery date changes and amends, highlighting and changes to the business
  • Check and review packing lists, invoices, and customs declarations.
  • Assist with checking and processing freight invoices, and keeping the freight/duty records up to date.
  • Manage freight forwarders ensuring products are being delivered on time
  • Update the goods in tracker and highlighting progress vs the critical path for deliveries to the wider business.
  • Review and maintain daily shipping documentations and liaise with warehouse and freight forwarder.
  • Highlight risks and opportunities of cost implications vs transport mode/route.
  • Own Air freight organisation and cost breakdown
  • Manage and communicate on goods on hold for quality issues - coordinate inspection needs with the Technical team
  • Organising returns for faulty goods both landed and overseas

Key Requirements

  • Relevant degree or a minimum 2 years’ experience in supply planning, operations or a production environment.
  • Experience working independently with a confident, proactive, accurate and resilient mindset.
  • Intermediate Excel skills, with an interest in building/improving reporting tools to support the growth of the product team.
  • A positive and professional attitude, demonstrating a drive to work consistently to high standards within agreed time frames.
  • This role requires exceptional organisational skills and attention to detail.
  • Willingness to continually improve your own performance, taking an active role in setting and achieving personal and business goals.
  • Ability to look further than the daily responsibilities and have a wider awareness of business needs.
  • An interest in fashion, garment production or apparel would be beneficial, but not required.
