We are currently seeking an organised, proactive, and detail-oriented Construction Administrator / Coordinator to join a busy and expanding Capital Works team based in Newcastle.
In this vital support role, you will be the administrative backbone of our capital projects, ensuring that all documentation, scheduling, and communications run seamlessly from initial planning through to project handover. If you have a background in construction, facilities management, or property administration and thrive in a fast-paced environment, this is an excellent opportunity to secure a permanent role with a competitive salary.
Key Responsibilities

Project Documentation: Assist in the preparation, compilation, and management of project files, Operation & Maintenance (O&M) manuals, Health & Safety files, and RAMS (Risk Assessments and Method Statements).

Scheduling & Coordination: Coordinate diaries, site visits, and project meetings for the Capital Works team, ensuring engineers, contractors, and clients are fully aligned.

Procurement & Invoicing: Raise purchase orders, process supplier invoices, track project expenditures, and assist with general commercial administration.

Stakeholder Communication: Act as a key point of contact for internal teams, subcontractors, and clients, handling enquiries promptly and professionally.

Compliance & Record Keeping: Maintain accurate logs of project progress, compliance certificates, subcontractor certifications, and site audits using in-house management systems.

General Office Support: Provide general administrative assistance to the Capital Works management team to drive operational efficiency.
Candidate Requirements

Experience: Proven administrative experience within a construction, facilities management, property, or engineering environment.

Organisation: Exceptional time-management skills with the ability to juggle competing priorities in a deadline-driven setting.

Communication: Strong written and verbal communication skills, with a confident, professional telephone manner.

IT Literacy: Proficient across Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new database or project management software.

Attention to Detail: Meticulous approach to compliance, data entry, and document control.
