Project Co-ordinator

We are seeking an organised and proactive M&E Project Coordinator to support the successful delivery of Mechanical and Electrical projects across a range of commercial clients.
The role will provide operational, technical and administrative support throughout the full project lifecycle, from initial planning and procurement through to project delivery and handover. Working closely with lead M&E Contract Managers, engineers, subcontractors, suppliers and clients, the successful candidate will help ensure projects are delivered safely, efficiently, on time and within budget.
Key Duties and Responsibilities
Project Coordination
· Coordinate Mechanical and Electrical projects from initiation through to completion and handover.
· Assist with project planning, scheduling and the allocation of engineers and subcontractors.
· Coordinate labour, materials, subcontractors, site access and project activities.
· Support site engineers with technical, operational and administrative requirements.
· Arrange site access, permits, inductions and other pre-start requirements.
· Maintain project trackers, action logs, reports and progress updates.
· Monitor project progress, costs, variations and programme requirements.
· Assist with quotations, project planning and financial tracking.
· Support the preparation of project valuations and invoicing information where required.
Health, Safety and Compliance
· Prepare and maintain Risk Assessments and Method Statements (RAMS).
· Support the company's duties and responsibilities under CDM 2015.
· Maintain project Health & Safety and compliance documentation.
· Monitor and coordinate required compliance documentation from engineers and subcontractors.
· Ensure project records are maintained accurately and are readily available when required.
Procurement and Commercial Support
· Source and procure commercial mechanical and electrical products and materials.
· Obtain quotations from suppliers and assist with the selection of suitable products and services.
· Raise and manage purchase orders in line with company procedures.
· Coordinate material deliveries and ensure requirements are available to support project programmes.
· Track project expenditure, costs and variations.
Client, Supplier and Engineer Liaison
· Maintain effective communication with clients, engineers, subcontractors and suppliers.
· Provide regular project updates and respond to operational and administrative queries.
· Assist with coordinating client requirements and resolving issues that may affect project delivery.
· Build and maintain positive working relationships with all project stakeholders.
Systems and Administration
· Maintain accurate updates within the company's CAFM and job management systems.
· Manage project files, documentation and document control throughout the project lifecycle.
· Produce project reports, trackers and supporting documentation.
· Prepare Operation and Maintenance (O&M) manuals and project handover documentation.
· Ensure all project information is accurately recorded and maintained in accordance with company procedures.
Knowledge, Skills and Experience
Essential
· Good knowledge and understanding of building fabric.
· Strong project coordination and project management skills.
· Experience using CAFM or job management systems.
· Strong Microsoft Office skills, including Excel, Word and Outlook.
· Ability to coordinate and support teams, including the management of site-based engineers.
· Excellent organisational and time management skills.
· Strong communication and interpersonal skills.
· Ability to manage multiple projects and priorities simultaneously.
· A proactive approach with strong attention to detail and problem-solving skills.
Desirable
· Understanding of commercial heating systems.
· Knowledge of air conditioning and ventilation systems.
· Knowledge of commercial hot water systems.
· Previous experience within Hard FM, Mechanical & Electrical, Construction or a similar environment.
· Experience coordinating projects within NHS or healthcare environments.
· Knowledge or understanding of CDM 2015 requirements.
Salary
£35,000-£45,000 depending on experience, qualifications and relevant industry knowledge.
Working Hours
Monday-Friday, 07.30-16:00 (40 hours per week).
