About the Role

Gilmartins is looking to recruit a highly organised and proactive Project Coordinator / Junior Project Manager to join our Planned & Voids division at our Houghton Regis office.

This is an excellent opportunity for someone with experience in construction, property maintenance or social housing who is looking to develop their career within project management.

You will support the operational delivery of planned maintenance, refurbishment and void property programmes, working closely with Site Managers, Project Managers, Quantity Surveyors, clients, residents, subcontractors and internal teams.

Experience within the social housing sector is highly preferred, although it is not essential. Candidates with strong coordination experience from construction, property maintenance, facilities management or a similar environment are encouraged to apply.

Key Responsibilities

  • Support the planning and coordination of planned maintenance and void works.
  • Assist Project Managers with the day-to-day administration and management of contracts.
  • Coordinate appointments, operatives, subcontractors and work programmes.
  • Monitor job progress and ensure internal systems and trackers are kept up to date.
  • Liaise with residents, clients and housing teams regarding appointments and progress.
  • Support Site Managers with information, documentation and scheduling requirements.
  • Assist with programme management and identify potential delays or issues.
  • Coordinate project documentation, reports, photographs and completion records.
  • Support the management of variations and additional works.
  • Assist with client reporting and preparation for operational meetings.
  • Liaise with commercial teams regarding costs, orders and subcontractor requirements.
  • Track outstanding actions and ensure they are followed through to completion.
  • Support the handover and close-out of completed properties and workstreams.
  • Help ensure a high level of customer service is maintained throughout each project.

Skills & Experience

  • Previous experience within project coordination, construction administration, property maintenance or a similar operational environment.
  • Social housing, planned maintenance or void property experience would be highly advantageous.
  • Excellent organisational and administrative skills.
  • Ability to manage multiple priorities and deadlines.
  • Strong communication and interpersonal skills.
  • Confident dealing with clients, residents, contractors and internal teams.
  • Good attention to detail and ability to maintain accurate records.
  • Strong IT skills, including Microsoft Office and Excel.
  • A proactive approach with the confidence to identify and resolve issues.
  • An interest in developing into a Project Management role.

A construction, property or project management qualification would be advantageous but is not essential.

We are looking for an ambitious individual who wants to develop within project management and become an important part of our Planned & Voids team.

You will need to be organised, confident and comfortable working in a fast-moving environment where several projects or workstreams may be running simultaneously.

This role would suit either an experienced Project Coordinator or someone currently working at Assistant / Junior Project Manager level who is looking for greater responsibility and career progression.
