Purchasing Assistant

DarcyBrook are looking for a sharp, detail-oriented Purchasing Assistant to join our clients growing procurement team. If you are someone who gets a genuine thrill from a perfectly formatted spreadsheet, thrives on building great relationships with vendors, and can keep a dozen moving parts organised without breaking a sweat, we want to talk to you. You’ll work closely with internal teams and external partners to ensure we get the right materials, at the right time, for the right price.
Key Responsibilities
Supplier Management: Act as a primary point of contact for external vendors. Build and maintain strong, collaborative relationships, monitor supplier performance, and address any delivery or quality issues head-on.
Order Processing: Prepare, issue, and track purchase orders (POs) accurately and efficiently, ensuring alignment with company policies and budget constraints.
Data & Inventory Tracking: Maintain precise records of purchases, pricing, and stock levels. You’ll be the go-to person for keeping our inventory data immaculate.
Market & Pricing Analysis: Research potential new vendors, request quotes, and compare costs to ensure we are always getting the best possible value.
Cross-Functional Collaboration: Work closely with the warehouse, finance, and operations teams to resolve invoice discrepancies and coordinate delivery schedules.
What We Are Looking For
Advanced Excel Skills: You should be more than comfortable with spreadsheets.
Highly Organised: You will be juggling multiple orders, deadlines, and vendor queries simultaneously. Exceptional time management and an eagle eye for detail are absolute must-haves.
Confident Communicator: You’ll be negotiating lead times, chasing up late deliveries, and collaborating across departments. You need to be articulate, professional, and comfortable picking up the phone to get things done.
Proven Supplier Management: Prior experience dealing directly with vendors, managing lead times, and handling supply chain hiccups with diplomacy and tact.
Experience: 1–3 years of experience in a purchasing, procurement, or supply chain role is preferred.
