Oakley Recruitment is working in partnership with an expanding organisation based in Tamworth. This is an excellent opportunity to join the team as a Receptionist Returns Coordinator on a full-time permanent basis.

Personality
You’ll be a personable, professional and highly organised individual who enjoys a varied role where no two parts of the day are quite the same. As a key first point of contact for the business, you’ll be confident communicating with visitors, customers and colleagues while creating a welcoming and professional impression. You’ll be adaptable and able to prioritise between reception and administrative responsibilities, using your initiative to resolve queries and keep things moving. With excellent attention to detail, you’ll be comfortable working independently while also being a supportive and reliable member of the wider team.

Package and benefits

  • Monday to Friday (40hrs a week)
  • 9:30-5:30pm

Pension            

  • 3% employer contribution, 4% employee contribution, 1% tax relief, pensions advisor to visit the site twice a year

Holiday Entitlement

  • 23 days holiday plus 8 statutory bank holidays. After 3 years’ service this increases to 24 days plus BH and at 6 years’ service it increases again to a maximum of 25 days plus BH.
  • After completing 6-month probationary period, all employees are entitled to up to 5 days unpaid annual leave in addition to their paid allowance. This is pro-rata in the first part year, following probation.

Job Role:

  • Managing returns administration, including processing debit notes, credits and supporting documentation through internal and ERP systems
  • Monitoring the returns inbox, investigating queries and regularly following up on outstanding returns and debits
  • Liaising with carriers, Customer Service, Quality, Credit Control and Sales teams to resolve returns, delivery and invoice-related queries
  • Acting as the first point of contact for visitors and managing the reception area to provide a professional and welcoming experience
  • Managing a busy multi-line switchboard, directing inbound calls and taking messages where required
  • Processing post, scanning and validating documentation and maintaining accurate administrative records
  • Supporting general office administration, including meeting room preparation, refreshments and wider Customer Service requirements


Skills and experience:

  • Demonstrating previous experience within a customer service or administrative role
  • Possessing previous reception or front-of-house experience would be advantageous
  • Demonstrating excellent verbal and written communication skills with a professional and personable approach
  • Managing workloads independently while prioritising effectively across varied responsibilities
  • Possessing strong administration and data entry skills with excellent attention to detail and accuracy
  • Using Outlook and Excel confidently, with experience of Sage or a similar ERP system
  • Demonstrating flexibility, initiative and a willingness to support customers, colleagues and the wider business
