The Opportunity
Are you an experienced Senior Administrator with excellent organisational skills and a proven ability to coordinate multiple priorities in a professional environment?
Our client, based near Farnborough, is looking for a highly organised, proactive and detail-focused Senior Administrator to join their team and provide comprehensive administrative and coordination support across the business.
This is a varied and important role, working closely with senior management and key stakeholders to ensure the smooth running of meetings, governance activities, business administration and day-to-day operations.
You’ll be responsible for coordinating meetings, preparing documentation, maintaining accurate records, managing actions and providing high-quality administrative support across a range of business activities.
The successful candidate will be confident working with senior stakeholders, comfortable handling confidential information and able to manage multiple deadlines while maintaining a high standard of accuracy and professionalism.
Experience within Financial Services, Banking or Mortgage Lending would be advantageous, although it is not essential.
Key Responsibilities
- Provide comprehensive and proactive administrative support to the Executive Management Team and wider business.
- Coordinate diaries, meetings and appointments, ensuring schedules are organised and priorities are effectively managed.
- Arrange internal and external meetings, including room bookings, agendas, papers, presentations and supporting documentation.
- Attend Executive, management and committee meetings as required, taking accurate and concise minutes.
- Prepare and maintain action logs, monitoring outstanding actions and following up with relevant stakeholders to ensure deadlines are met.
- Provide administrative support for Board, Executive and governance-related meetings.
- Prepare professional correspondence, reports, presentations, agendas and briefing materials.
- Maintain accurate and well-organised records, files and documentation.
- Act as a key point of contact for colleagues, senior management and external stakeholders, ensuring queries are handled promptly and professionally.
- Coordinate and support business projects, internal events and communications initiatives.
- Arrange travel, accommodation and meeting requirements when required.
- Process expenses, invoices and other administrative requirements accurately and within agreed timescales.
- Maintain confidential information and documentation, ensuring appropriate levels of discretion and data security.
- Assist with the implementation and maintenance of effective administrative processes and procedures.
- Identify opportunities to improve administrative processes and introduce greater efficiency where appropriate.
- Ensure administrative activities are carried out in accordance with company policies, regulatory requirements and data protection obligations.
About You
We’re looking for a highly organised, reliable and proactive Senior Administrator who takes pride in delivering an efficient and professional support service.
You’ll be confident managing multiple tasks and deadlines, comfortable communicating with people at all levels and able to work independently while knowing when to seek guidance.
You’ll ideally have:
- Significant experience in a Senior Administrator, Senior Administration, Business Support or similar role.
- Strong experience coordinating meetings, preparing documentation and managing administrative processes.
- Excellent organisational skills, with the ability to manage multiple priorities and deadlines.
- Strong minute-taking skills and the ability to accurately record key discussions, decisions and actions.
- Excellent written and verbal communication skills.
- Strong interpersonal and stakeholder management abilities.
- Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, Excel and Teams.
- Excellent attention to detail and a high level of accuracy.
- A professional and organised approach, with the ability to handle confidential information appropriately.
- The ability to work independently, use initiative and exercise sound judgement.
- A proactive and solutions-focused attitude, with a willingness to take ownership of tasks.
- Experience within Financial Services, Banking or Mortgage Lending would be advantageous.
- An understanding of governance processes and working within a regulated environment would be desirable.
