Job Title: Team Secretary

Location: Princess Anne Hospital, Coxford Road, Southampton, SO16 5YA

Hours: 37.5 hours per week - Monday – Friday 9.00am – 5.00pm

Trust Location: Hampshire & Isle of Wight Healthcare NHS FT

Role type: Temporary for 3 months with possibility of extension

Duties to include but not limited to:

  • Type correspondence using both copy typing and audio, including letters, minutes, and reports as indicated by the line manager.
  • Set up office systems and procedures to ensure that all documents can be retrieved easily.
  • Organising meetings and taking Minutes as necessary, typing and distributing to those appropriate
  • Assist in the collection of data for the purpose of audit, research and service performance.
  • To be able to enter and retrieve information from spreadsheet databases.
  • Support the clinical team as required in diary management, meeting management, report writing, administering personnel files and taking messages.
  • Ensure that all typing and administrative duties are completed promptly and efficiently for the clinical team. This will include undertaking own secretarial duties as required.
  • Assist with subject to access requests as directed.
  • Type correspondence and relevant material as service needs demand from manuscript and audio.
  • Be responsible for dealing with telephone enquiries and taking messages.
  • Maintain accurate patient information and health records for patients referred to the team.
  • Update electronic patient record systems (including RiO, eDocs and eCaMIS) as required (training will be provided).

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You’ll learn the following whilst working at the trust:

  1. An in depth understanding of the roles and responsibilities involved in working within the NHS  
  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times  
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation 

You’ll have the following skills/experience:

  • Competent with Microsoft office programmes, particularly Excel
  • Excellent IT skills
  • NHS experience (desirable)
  • Email inbox management skills
  • Excellent attention to detail and accuracy
