Teaching Administrative Assistant

Rate: £14.18 per hour

Hours: Full-time (1 FTE)



About the Role:

We are looking for an organised and proactive Teaching Administrative Assistant to provide administrative support to the Undergraduate Medical School. This is a varied administrative role involving communication with academic and clinical staff, students, GP practices and external contributors. The successful candidate will help coordinate teaching, assessments, tutor activities and course administration, ensuring everything runs smoothly and to schedule.



Key Responsibilities:

  • Provide administrative support for the organisation and delivery of General Practice clinical placement teaching and assessments.
  • Assist with the delivery and coordination of GP teaching and clinical placements.
  • Maintain accurate records relating to payments to GP practices and course contributors.
  • Liaise with course coordinators, tutors, students and relevant medical school staff.
  • Provide administrative support for Communication Skills sessions.
  • Prepare, edit, copy and collate course documentation, handbooks and teaching materials.
  • Distribute information and materials to tutors and students using electronic systems and bulk mailing platforms.
  • Assist with the planning and delivery of the annual GP Tutor Training Conference and other tutor training events.
  • Regularly update teaching content on online platforms such as Moodle.
  • Support the set-up and administration of OSCE assessments both on and off campus.
  • Handle enquiries from students, staff and external contacts, escalating more complex queries where appropriate.
  • Maintain accurate administrative records and handle confidential information with tact and discretion.
  • Undertake other reasonable administrative duties as required by the management team.


About You:

The ideal candidate will have previous administrative experience and be confident working in a busy environment where accuracy, organisation and communication are essential.

You will ideally have:

  • Excellent written and verbal communication skills.
  • Strong organisational skills and excellent attention to detail.
  • The ability to manage multiple tasks, prioritise workloads and work to deadlines.
  • A proactive approach, with the ability to use initiative and work independently.
  • The ability to work effectively as part of a wider team.
  • Excellent IT skills, particularly Microsoft Office.
  • Experience handling large volumes of administrative data, records and information.
  • Experience handling confidential information with professionalism and discretion.
  • Strong interpersonal skills, with the ability to communicate effectively with a wide range of people.

Previous experience within Higher Education, medical education, teaching administration or a similar environment would be advantageous, as would experience with financial administration, bespoke IT systems, Moodle or web editing.
