Overview
Our Client, a leading organisation in the research and scientific community, is seeking a dedicated Executive Assistant to provide high-level support to the Director. This temporary role, lasting approximately three months, offers a chance to be directly involved in strategic governance and organisational prioritisation. It’s an engaging position perfect for someone eager to contribute to impactful work, working closely with senior stakeholders and helping shape the future of groundbreaking science.
Key Responsibilities
- Manage the Director’s calendar and strategic engagements, ensuring priorities are balanced and conflicts resolved efficiently.
- Support governance activities by preparing agendas, recording decisions, and tracking actions for senior leadership groups.
- Handle the Director’s inbox, drafting responses and managing correspondence with discretion.
- Organise domestic and international travel, including itineraries, briefings, and logistical arrangements for high-profile visits.
- Lead the operational activities within the Director’s Office, identifying opportunities to streamline procedures and enhance efficiency.
- Coordinate and deliver the organisation’s annual strategic events, working across teams and external partners.
- Provide support to other senior Executive Assistants when needed, building trusted relationships across the organisation.
- Ensure timely and professional communication with external stakeholders, including government officials, academics, and industry partners.
- Proven experience providing executive support to senior leadership, including diary management and governance support.
- Demonstrated ability to organise and coordinate complex, high-profile events and international travel.
- Excellent written and verbal communication skills, with a professional approach to relationship building.
- Strong proficiency in Microsoft Office and Google Workspace applications.
- Ability to work independently, exercise sound judgement, and handle confidential information with discretion.
- Experience in a research or academic environment.
- Additional experience in strategic planning or event management.
- Knowledge of governance processes within complex organisations.
