We are delighted to be recruiting for an exciting opportunity for a Facilities Coordinator to join an established and busy facilities team based in Banbury.
This is a varied and hands-on role supporting the safe, efficient and compliant operation of the company’s buildings, infrastructure and workplace services.
Reporting to the HSE Manager, the successful candidate will coordinate maintenance activities, contractors, compliance inspections, site services and facility improvement projects, while providing an efficient and responsive service across the site.
The Role
As Facilities Coordinator, you will support the HSE Manager with the effective day-to-day coordination of facilities across the site.
You will be responsible for coordinating planned preventative maintenance, site repairs, contractors, compliance inspections and workplace services, while maintaining accurate records and supporting continuous improvement initiatives.
Key Responsibilities
- Coordinate planned preventative maintenance (PPM), site repairs and maintenance requests.
- Monitor building systems including HVAC, lighting, fire protection, security, plumbing and utilities.
- Schedule and coordinate external contractors and service providers.
- Review risk assessments, method statements and permits to work where required.
- Monitor contractor performance and ensure services are delivered to the required standards.
- Coordinate statutory inspections, fire safety equipment inspections and emergency lighting tests.
- Maintain accurate facilities, environmental, health and safety and maintenance records.
- Assist with workplace inspections, corrective actions, emergency preparedness and business continuity.
- Maintain inventories of facilities equipment and consumables and support procurement activities.
- Assist with supplier management, purchase orders and monitoring facilities expenditure.
- Coordinate cleaning, waste disposal, pest control, grounds maintenance and security services.
- Support employee requests relating to building services and workplace facilities.
- Identify opportunities to improve efficiency, sustainability and workplace standards.
- Support energy reduction, environmental improvement and facilities projects.
- Participate in audits, quality checks and the company's continuous improvement programme.
- Liaise with internal departments regarding quality, facilities and operational concerns.
- Work within the company's internal systems and follow standardised working procedures.
About You
We are looking for an organised, proactive and detail-focused individual who can manage a varied workload and ensure facilities activities are completed safely, efficiently and on time.
You will be confident communicating with colleagues, contractors and suppliers and comfortable managing multiple priorities within a busy environment.
You should have:
Experience within facilities, maintenance, office services or property management.
A good understanding of health, safety and compliance requirements.
Strong organisational, planning and problem-solving skills.
Good IT skills and confidence using Microsoft Office.
Excellent communication and stakeholder management skills.
Strong attention to detail and time management.
A customer-focused and accountable approach.
A proactive attitude with a continuous improvement mindset.
Desirable Experience
IOSH Managing Safely or similar health and safety qualification.
Facilities Management qualification such as IWFM or equivalent.
Experience within a manufacturing or industrial environment.
Experience managing contractors and service providers.
Knowledge of permit-to-work systems and contractor management processe
Experience with PPM, statutory inspections and facilities compliance.
