About the Role
This varied, hands-on position brings together HR administration, training coordination and day-to-day office support. Working with partners, colleagues and external advisers, you will keep people-related records accurate, coordinate the trainee programme and help staff and office processes run smoothly. From supporting new starters and organising study arrangements to tracking recurring deadlines and responding to routine staff queries, you will provide reliable administrative support across the firm. The emphasis is on practical coordination, confidentiality and follow-through, with formal HR matters referred to the appropriate adviser.
Role purpose
To provide a consistent, well-organised administrative service across the employee lifecycle, trainee development and office support, ensuring records, arrangements and recurring tasks are completed accurately and on time.
Key responsibilities
- Maintain accurate attendance, sickness and holiday records, track outstanding information and escalate patterns or complex requests to the appropriate person.
- Take ownership of trainee programme administration, coordinating exam schedules, college liaison, study leave, progress tracking and review dates, and keeping trainees and relevant colleagues informed of upcoming requirements.
- Coordinate new-starter administration, preparing induction materials and required documentation, liaising with colleagues over system access and training, and following up outstanding onboarding actions.
- Maintain a forward calendar of recurring staff and office deadlines, forms, review dates and compliance requirements, issuing reminders and following up incomplete actions.
- Support the preparation and maintenance of straightforward internal policies and staff communications, drafting updates for partner approval and circulating approved information clearly and consistently.
- Act as an accessible first point of contact for routine staff queries, provide administrative guidance within agreed procedures and refer formal or sensitive HR matters to the appropriate adviser.
- Support the smooth running of the office by coordinating supplies, equipment requirements and routine facilities checks, following up issues and liaising with relevant colleagues or suppliers as needed.
Candidate profile
- Experience in HR administration, training coordination, office management or people support, with the ability to apply these skills across a varied administrative workload.
- Strong organisational skills, careful attention to detail and a discreet approach to confidential information, with the confidence to communicate clearly with colleagues at all levels.
- A proactive, methodical working style, with the ability to prioritise competing tasks, anticipate deadlines, maintain accurate records and follow actions through to completion.
- HR qualifications may be useful but are not essential; relevant practical experience and a sound understanding of when to seek specialist guidance are equally important.
