We're recruiting for a Service Coordinator to join a busy service department within a well-established, global organisation based in Banbury

This is a great opportunity for someone with experience in customer service, service coordination, scheduling or a busy administrative environment who enjoys taking ownership, juggling priorities and making sure customers are kept informed every step of the way

The role

As Service Coordinator, you'll be an important link between customers, Field Service Engineers and internal teams, ensuring work is scheduled efficiently, queries are resolved and customers receive a consistently high level of service

You'll take ownership of service requests from initial contact through to completion, keeping customers updated and making sure the information behind each job is accurate and up to date

What you'll be doing

  • Handling customer enquiries by telephone and email
  • Scheduling for Field Service Engineers in line with customer requirements and response times
  • Providing proactive updates to customers on service progress and planned work
  • Managing service requests and ensuring CRM records are accurate and up to date
  • Creating and managing cost estimates and following up outstanding approvals
  • Processing spare parts orders for approved work
  • Monitoring open orders and work in progress to keep jobs moving through to completion
  • Investigating invoice queries and arranging supporting credit paperwork where required
  • Following up purchase orders, payments and outstanding cost estimates
  • Working closely with engineers and internal departments to resolve issues
  • Taking ownership of customer queries and complaints through to resolution

What we're looking for

You'll already have experience within customer service, service coordination, scheduling, order processing or a busy administration role where you've had to manage multiple tasks and priorities.

We're particularly looking for someone who:

  • Is highly organised and comfortable managing a busy workload
  • Can prioritise and stay calm when things get pressured
  • Enjoys speaking with customers and building good relationships
  • Takes ownership rather than waiting to be told what needs doing
  • Has excellent attention to detail and accuracy
  • Is confident using IT systems, Microsoft Office and ideally a CRM
  • Communicates confidently by phone and email
  • Works well as part of a collaborative team
  • Is proactive, dependable and happy to get stuck in
  • Experience with SAP or Microsoft Dynamics CRM would be useful but isn't essential
